Exhibitor FAQs

What is the cancellation policy?

Request for cancellation of paid exhibit space must be made in writing by May 1, 2023 for a full refund, provided all level of booth space is sold. Cancellations will result in a fee of $100 per booth. After May 1, 2023, no requests for a refund will be considered.

Can I view the Exhibit Hall to see if my company might be interested in exhibiting at future conventions?

Out of fairness to exhibiting companies and our attendees, only registered dental professionals and exhibiting company personnel are allowed in the Exhibit Hall. If you would like more information about exhibiting, please contact Laura Breeden, Meetings Director, at laura@stlouisdental.org.

What is included in my exhibit booth?

10’x10′ space, sign, and furniture package of 1 skirted table (30″ or 42″ high), 1 side chair or high stool and 1 wastebasket. To receive your complimentary furniture package, exhibitors must submit their order on the Exhibitor Contract by October 3, 2023. In addition, exhibiting companies are recognized in the Registration Book, onsite information, GSLDS website and pre-meeting marketing (deadlines apply). A complementary marketing piece for exhibitors to advertise their presence at MCDC is also available and will be shared in September.

Who do I contact for shipping information?

Heritage Exposition Services, information contained in Exhibitor Service Kit or you may contact Heritage at 314-534-8500 or exhibitor.services@heritagesvs.com.

Shipments to warehouse:
Heritage Exposition Services will start accepting crated, boxed, or skidded materials 30 days prior to show move in.

Shipments to show site:
Heritage Exposition Services will receive and unload at show site only during exhibitor move-in on Wednesday, October 25, 2023 from 3:00 pm – 7:00 pm and Thursday, October 26, 2023 from 7:00 am – 9:00 am.  Do not ship to show site any other time.

Outbound Shipments:
Exhibitors are responsible for labeling their exhibit materials and providing outbound shipping information.

I need an extra furniture, who do I contact?

All extra furniture, accessories, modular displays can be rented through Heritage Exposition Services. Order forms are included in the Exhibitor Service Manual or by contacting Heritage at 314-534-8500 or exhibitor.services@heritagesvs.com.

What if I need internet or electric in my booth?

All utilities can be ordered through the St. Louis Union Station. You may contact their Exhibitor Services Department at 314-707-1384 or gbuerkle@lhmchotels.com.

Does the Mid-Continent offer a hotel convention room block?

Yes! We encourage attendees to stay and play in luxury! Book your reservation at the low convention rate of $169 plus taxes per night at St. Louis Union Station Hotel, AAA Diamond rated.   Deadline for convention rate is October 4, 2023. Phoned in hotel reservations, use code “GSD.” Visit https://www.mcdcstl.org/hotel-travel/ for hotel information.

How can I increase my traffic at my exhibit booth?

Sponsorships and exhibitor opportunities have been created to offer exhibitors increased exposure to the Mid-Continent Dental Congress attendees. Visit mcdcstl.org/sponsorship-opportunities for details.

How do I register and receive badges for company representatives attending the Mid-Continent Dental Congress?

Online exhibitor registration is open online here. Badges will not be mailed and are available for pick up onsite. We suggest you register prior to the convention, as all onsite registrations will incur a fee of $15 each.

When can I set up my exhibit booth?

Wednesday, October 25, 2023 starting at 3:00 pm.

What are the times the exhibit hall is open to attendees?

The Midway Exhibit Hall will be open Thursday, October 26, 2023 from 9:00 am to 6:00 pm and Friday, October 27, 2023 from 9:00 am to 3:30 pm. There will be a complimentary attendee Pre-Party Happy Hour in the hall on Thursday from 4:30 to 6:00 pm. In addition, most every course will have a 30-minute mandatory break in both mornings and afternoons. Complimentary food, coffee and iced tea will be served during each break.

When can I dismantle my exhibit booth?

You may start to dismantle your booth at the close of Exhibit Hall on Friday, October 27, 2023 at 3:30 pm. No exhibit shall be packed, removed, or dismantled prior to the closing on Friday without prior permission from show management.

Will there be a designated lactation room at the Mid-Continent?

Yes, a lactation room will be available both days at St. Louis Union Station in Zephyr Rocket room located on the second floor.

If an exhibitor representative registered and can no longer attend, can you substitute the name to another person for a name badge at no additional fee?

No transfers for name badges will be allowed. False certification of individuals as representatives of an exhibiting company to assist unauthorized persons in gaining admission to the exhibit floor is prohibited.

Will a meeting app be available?

The MCDC meeting app has it all: course locations and times, speaker info, handouts, CE certificates, exhibitor listing, maps, and more! The meeting app is free and easy to use. It is available 4 weeks prior to MCDC on the app store. Search for “Mid-Continent Dental Congress.”

Where do I park when I arrive to St. Louis Union Station and will there be a fee?

Convention parking rates: $16 all day self-parking, $25 overnight self-parking and $35 overnight parking.

There are two available self-parking lots (https://www.stlouisaquarium.com/parking-map):

      • West Parking Lot: enter from Market Street on 20th. Parking Lot is on the right.
      • South Parking Lot: enter from Market Street on 18th Street. Parking lot is on right.

Valet parking rates: 0-3 hours $20, 3-6 hours $28 and over 6 hours $35

      • Valet parking is available at the Main Grand Hall entrance, on East-bound Market Street.

Will there be a social event during the Mid-Continent?

Yes! “The Party @ MCDC” will be held on Thursday evening, complimentary to all registered attendees and exhibitors. Complimentary appetizers and a cash bar. Music by Vote for Pedro, one of the best and most respected bands in the St. Louis area. The party will be held at St. Louis Union Station and will offer appetizers and beverages. Registration is required, your convention meeting badge will serve as your ticket to attend. Only registered exhibiting company representatives can attend, up to four representatives per exhibiting company.

Where can I eat lunch during the Mid-Continent Dental Congress?

You will not need to leave St Louis Union Station for lunch. A complete list of onsite restaurants below. You may also visit www.stlouisunionstation.com/taste for further information. Multiple food trucks will also be available both days from 11:00am – 2:00pm on 20th Street.

The Pitch Athletic Club & Tavern
